Introduction

When an international law firm requested specific interpreters for a complex, multi-week trial, their hearing services provider, our client, was eager to deliver. However, with multiple moving parts, interpreter preferences, and high-stakes timelines, coordinating the assignment independently posed a significant operational risk. The interpreters were already selected; now they just needed someone to make it all work. That’s where Divergent stepped in, not to change the plan, but to ensure flawless execution from start to finish.

The Challenge

Our client, a leading international legal services provider, was supporting a high-stakes, multi-week trial for a global law firm that had already chosen the interpreters they wanted to work with. However, they quickly realized that coordinating those bookings independently would expose them to considerable logistical and operational risks given the massive scope of their case.

As is usual for highly qualified interpreters handling complex international disputes, these four individuals were in extremely high demand and had varying working preferences and requirements. The end client wanted the benefits of working with their preferred interpreters without having to navigate the considerable effort required to book and manage them. Our client simply wanted to ensure their client was kept happy. That’s where Divergent came in.

Our Solution

We stepped in to serve as the central coordinator and contracting agency. Although the interpreters had been pre-selected, we took responsibility for every other aspect of the assignment.

  • Negotiated and harmonized interpreter terms (rates, working hours, team configuration, prep time requirements).
  • Secured interpreter availability and backup coverage for the duration of the trial.
  • Handled all contracting and paperwork, including NDAs, vendor agreements, etc.
  • Managed critical logistics like trial prep material distribution, onsite AV access, break room needs, and even, due to extreme weather, the delivery of an onsite AC system.
  • Served as the single point of contact for the client team, court staff, and interpreters, which dramatically reduced the amount of work otherwise required by our clients and theirs.

To an outside observer, this may seem like nothing more than calendar coordination. In reality, it required deep experience in interpreter management, real-time troubleshooting, and ensuring consistency in interpreter delivery for a complex legal matter.

Despite the end client knowing which interpreters they wanted, multiple parties were involved in the approval process and dates were rescheduled a few times, leading the requested interpreters to issue ultimatums on at various points, stating that booking was essential without further delay which meant the entire assignment was at risk without our proactive management to get the contract signed in time.

Over the course of half a year, approximately 300 emails were exchanged on our backend between the linguists and the client not to mention numerous phone calls and team meetings, all to ensure the requested interpreters were not only secured but also prepared and capable of performing at the highest level. Essentially, we acted as the key link between two parties with high expectations and little margin for error.

  • For the interpreters, we offered a trusted intermediary who understood their needs, communicated clearly, and ensured they were fully supported, paid, and set up for success.
